Acceptable Use Policy

This Acceptable Use Policy ("AUP") governs your use of the Immicase platform and services (the "Service"). It is part of and supplements our Terms of Service. By using the Service, you agree to comply with this AUP.

1. Intended Use

Immicase is designed to help Canadian immigration professionals manage cases, clients, documents, deadlines, and compliance obligations. You may use the Service for:

  • Managing immigration case files and client records
  • Tracking deadlines, tasks, and document checklists
  • Communicating with clients through the built-in portal and messaging tools
  • Generating invoices and tracking payments
  • Maintaining audit trails for regulatory compliance
  • Producing reports and analytics for your practice
  • Collaborating with authorized team members within your firm

2. Prohibited Activities

You may not use the Service for any purpose that is unlawful or prohibited by this AUP. The following activities are strictly prohibited:

Illegal or Harmful Use

  • Using the Service to facilitate, support, or promote any illegal activity
  • Storing or transmitting content that violates Canadian or international law
  • Facilitating unauthorized immigration activities or fraudulent applications
  • Misrepresenting your professional credentials, RCIC licence status, or authorization to practise

Security Violations

  • Attempting to bypass, disable, or interfere with any security features of the Service
  • Probing, scanning, or testing the vulnerability of the Service or any system or network connected to it without authorization
  • Accessing another user's account without their explicit permission
  • Sharing your login credentials with unauthorized individuals
  • Using the Service to distribute malware, viruses, or other harmful code

Abuse of Resources

  • Using automated scripts, bots, or scrapers to access or interact with the Service without prior written consent
  • Generating excessive load or traffic intended to disrupt the Service for other users
  • Using the Service as a general-purpose file storage solution unrelated to immigration case management
  • Reselling, sublicensing, or sharing access to the Service with individuals not authorized under your subscription

Content Violations

  • Uploading, storing, or transmitting content that is defamatory, obscene, or threatening
  • Storing content that infringes on the intellectual property rights of any third party
  • Using the Service to send unsolicited bulk messages (spam) to clients or third parties

Privacy Violations

  • Collecting, processing, or storing personal information in violation of PIPEDA or other applicable privacy legislation
  • Using client data obtained through the Service for purposes beyond providing immigration services
  • Failing to obtain required consents from individuals whose personal information you enter into the Service

3. Your Responsibilities

As a user of the Service, you are responsible for:

  • Ensuring that all individuals who access the Service through your account comply with this AUP
  • Maintaining appropriate security measures for your account, including strong passwords and two-factor authentication
  • Reporting any suspected violations of this AUP to us promptly
  • Ensuring that your use of the Service complies with all applicable professional regulations, including those of the College of Immigration and Citizenship Consultants (CICC) or your provincial law society

4. Monitoring and Enforcement

We reserve the right, but are not obligated, to monitor use of the Service for compliance with this AUP. We may investigate suspected violations and take appropriate action, including:

  • Issuing a warning to the account holder
  • Temporarily suspending access to the Service
  • Permanently terminating the account
  • Removing or disabling access to content that violates this AUP
  • Reporting the activity to law enforcement or regulatory authorities where required by law

We will provide notice before taking enforcement action where practicable, except in cases where immediate action is necessary to protect the security of the Service or other users.

5. Reporting Violations

If you become aware of any activity that violates this AUP, please report it to us immediately at info@immicase.ca. We take all reports seriously and will investigate promptly.

6. Changes to This Policy

We may update this AUP from time to time. Material changes will be communicated through the Service or by email at least 30 days before taking effect. Your continued use of the Service after the effective date constitutes acceptance of the revised AUP.
