Express Entry Case Management Software
Manage every Express Entry case from profile creation through permanent residence confirmation. Immicase gives your firm complete control over CRS tracking, ITA deadlines, document collection, and IRCC milestone management across the CEC, FSW, and FST programs.
What Is Express Entry and Why Does It Demand Specialized Case Management?
Express Entry is Immigration, Refugees and Citizenship Canada's (IRCC) flagship application management system for economic immigration. It governs three federal programs: the Canadian Experience Class (CEC), the Federal Skilled Worker Program (FSW), and the Federal Skilled Trades Program (FST). Each program has distinct eligibility criteria, but all three funnel into a single pool where candidates are ranked using the Comprehensive Ranking System (CRS). When IRCC conducts a draw, candidates at or above the CRS cut-off receive an Invitation to Apply (ITA) for permanent residence.
For immigration consultants and law firms, Express Entry represents a high-stakes, deadline-driven process. Once a client receives an ITA, you have exactly 60 days to assemble a complete application -- including documents that may take weeks to obtain. Managing a pipeline of Express Entry clients at various stages, each with unique CRS profiles and document requirements, demands purpose-built case management software. Generic project management tools and spreadsheets cannot handle the complexity of CRS tracking, document expiry monitoring, and multi-applicant file coordination that Express Entry requires.
Canadian Experience Class (CEC)
Designed for candidates with at least one year of skilled Canadian work experience within the last three years. No formal education requirement, but language proficiency must meet CLB 7 for TEER 0/1 occupations or CLB 5 for TEER 2/3. CEC is the most popular pathway for temporary workers and international graduates transitioning to permanent residence after gaining Canadian work experience.
Federal Skilled Worker (FSW)
For skilled workers with foreign work experience. Requires at least one year of continuous full-time skilled work experience in a TEER 0, 1, 2, or 3 occupation within the last ten years. Applicants must also score CLB 7 or higher on a language test and have their foreign educational credentials assessed through an Educational Credential Assessment (ECA). FSW uses a 100-point grid in addition to CRS.
Federal Skilled Trades (FST)
For qualified tradespeople with a valid Canadian job offer or a certificate of qualification issued by a Canadian province or territory. Requires at least two years of full-time work experience in a skilled trade within the last five years. Language requirements are CLB 5 for speaking and listening, CLB 4 for reading and writing -- lower than other programs.
Express Entry Document Requirements
Express Entry applications require an extensive set of supporting documents, many of which have strict expiry dates. Missing or expired documents are the leading cause of ITA deadline pressure. A comprehensive case management tool tracks every document's status, validity period, and submission readiness.
Educational Credential Assessment (ECA)
- ECA report from WES, IQAS, ICAS, or other designated organization
- Must be less than 5 years old at the time of ITA
- Original transcripts and degree certificates for the assessment
- Canadian education credentials do not require an ECA
- ECA processing can take 4-8 weeks depending on the organization
Language Test Results
- IELTS General Training or CELPIP-General for English
- TEF Canada or TCF Canada for French proficiency
- Scores must be less than 2 years old at time of ITA
- Higher language scores directly increase CRS points
- Second official language results can add up to 24 CRS points
Proof of Funds
- Bank statements showing minimum settlement funds for 3+ consecutive months
- Fixed deposits, investment statements, or savings accounts
- Funds thresholds vary by family size (e.g., $14,690 for single applicant)
- CEC applicants with a valid Canadian job offer are exempt
- Statements must be current and clearly show account holder name
Police Clearance Certificates
- Required from every country lived in for 6+ months since age 18
- RCMP criminal record check if currently in Canada
- FBI clearance for US residents or citizens
- Certificates must be less than 12 months old at submission
- Some countries take 3-6 months to issue clearance certificates
How Immicase Tracks Express Entry Milestones
Express Entry applications follow a well-defined sequence of milestones. Immicase provides dedicated milestone tracking for each stage, ensuring your team always knows where every case stands and what action is needed next.
1. Profile Creation and Pool Entry
Immicase records the profile creation date, initial CRS score, and program eligibility (CEC, FSW, or FST). The 12-month pool validity is tracked automatically, with alerts before the profile expires so you can advise the client on renewal or score improvement strategies.
2. CRS Score Monitoring and Optimization
Record your client's CRS score and track changes over time as language tests are retaken, ECAs are completed, or provincial nominations are secured. Immicase helps you identify which score improvement strategies offer the best return -- whether that is retaking IELTS for a higher band, pursuing a French language test, or exploring PNP options for the 600-point nomination boost.
3. Invitation to Apply (ITA) Received
When your client receives an ITA, Immicase immediately activates a 60-day countdown. The case dashboard prominently displays the remaining days. Outstanding documents are flagged with urgency indicators. Your entire team can see at a glance which ITA cases are approaching their deadline.
4. Document Assembly and Submission
Track every document required for the e-APR submission. Immicase shows which documents are collected, which are pending, and which are approaching expiry. Clients can upload documents directly through the secure portal, eliminating email attachments and shared drive confusion.
5. Acknowledgement of Receipt (AOR) to COPR
After submission, track post-AOR milestones including biometrics completion, medical exam clearance, background checks, and any Additional Document Requests (ADRs) from IRCC. Each milestone has its own deadline tracking. When the Confirmation of Permanent Residence (COPR) is issued, Immicase tracks the landing deadline to ensure the client completes the process.
CRS Score Tracking and Draw Analysis
The Comprehensive Ranking System is the backbone of Express Entry. CRS scores determine whether your client receives an ITA, and even small score changes can make the difference between an invitation and months of additional waiting. Immicase provides tools to record, track, and analyze CRS scores across your entire client portfolio.
Score History Tracking
Log each client's CRS score over time with dated entries. When a client retakes a language test or obtains a new credential, update the score and see the improvement trend. Historical tracking helps you demonstrate value to clients by showing the impact of your advice.
Draw Cut-Off Comparison
Compare your client's CRS score against recent draw cut-offs. Identify clients who are close to the threshold and may benefit from targeted score improvement strategies. Prioritize your advisory efforts where they will have the most impact.
Portfolio-Wide Score View
View all your Express Entry clients' CRS scores in a single dashboard. Sort and filter by score, program, or pool entry date. Quickly identify which clients are most likely to receive an ITA in the next draw and which need intervention.
Score Improvement Recommendations
Based on the client's profile, identify the most effective CRS improvement strategies. Whether it is improving language scores, claiming French proficiency points, securing a provincial nomination, or obtaining a valid LMIA-backed job offer, Immicase helps you organize the advisory process.
From ITA to Permanent Residence: Managing the Critical Timeline
The period between receiving an ITA and obtaining permanent residence is the most deadline-intensive phase of the Express Entry process. Your firm must coordinate document collection, medical exams, biometrics, and IRCC requests within strict timeframes. Immicase structures this entire timeline so nothing falls through the cracks.
After the ITA, your client has 60 days to submit the complete e-APR. Post-submission, IRCC targets processing within six months for most Express Entry applications. During this period, the applicant may receive requests for additional documents, medical exams, or biometrics collection. Each request comes with its own deadline. For consultants managing dozens of active post-ITA files, systematic tracking is not optional -- it is essential.
Immicase tracks the entire ITA-to-PR timeline as a connected sequence of milestones. When an ADR arrives, you log it with its response deadline. When the medical exam is cleared, that milestone is checked off. When the COPR is issued, the landing deadline is automatically tracked. Every team member working on the file sees the same real-time status, eliminating the confusion that comes from managing these timelines in spreadsheets or email threads.
