IRCC Case Lifecycle Tracking
Track every immigration case from the moment a client walks through your door to the day their visa, permit, or permanent residence is issued. Immicase provides a structured 15-stage workflow that mirrors how IRCC actually processes applications, giving your firm complete visibility into every active file.
Why Structured Lifecycle Tracking Matters for Immigration Firms
Immigration cases are not linear tasks with a single deadline. They are multi-phase projects that can span months or even years, passing through intake, document gathering, submission, IRCC processing, and post-decision follow-up. At any given time, a typical Canadian immigration firm may have dozens or hundreds of cases at different stages across multiple immigration streams. Without a structured system to track where each case stands, firms risk missed deadlines, duplicated effort, and compliance gaps that can trigger regulatory scrutiny from the College of Immigration and Citizenship Consultants (CICC).
Immicase replaces ad-hoc tracking methods -- spreadsheets, sticky notes, email folders, and shared drives -- with a purpose-built lifecycle model that reflects the reality of Canadian immigration processing. Every case in Immicase progresses through clearly defined stages, and every transition is logged with a timestamp and user attribution. This means your entire team can see at a glance which cases need attention, which are waiting on IRCC, and which are approaching a critical deadline.
The result is fewer dropped balls, faster response times to client inquiries, and a complete, auditable record of every action taken on every case. Whether you are a solo RCIC or a multi-consultant firm, lifecycle tracking is the foundation that makes everything else -- document management, deadline alerts, invoicing, and reporting -- work reliably.
The 15-Stage IRCC Case Workflow
Immicase provides a 15-stage workflow that covers the full lifecycle of an IRCC application. Each stage has defined entry criteria, expected actions, and exit conditions. Cases advance through stages as work is completed, and every transition is recorded in the status history with full user attribution.
Intake
Capture client information, assess eligibility, and create the case record. Immicase auto-populates fields from intake forms and assigns the case to a consultant.
Eligibility Assessment
Evaluate the client against program requirements. Record assessment notes, flag potential issues, and determine the recommended immigration stream.
Retainer Agreement
Generate and track the signed retainer agreement. Link the retainer to the case file and log the engagement date for compliance records.
Document Collection
Activate the stream-specific document checklist. Track each document as received, under review, or outstanding. Clients can upload directly through the portal.
Document Review
Review submitted documents for completeness and accuracy. Flag items that need correction or re-upload. Log reviewer notes for the audit trail.
Application Preparation
Assemble the final application package. Verify that all forms are completed, fees are calculated, and supporting documents meet IRCC specifications.
Quality Check
A second set of eyes reviews the complete package before submission. Immicase enforces a review step so no application goes out without a quality check.
Submission
Submit the application to IRCC. Log the submission date, confirmation number, and any portal receipt. The case clock officially starts.
Acknowledgement of Receipt
Record the AOR from IRCC. Immicase timestamps this milestone and begins tracking post-submission deadlines including biometrics and medicals.
Biometrics
Track the biometrics instruction letter, appointment date, and completion confirmation. Alerts fire if the biometrics deadline is approaching.
Medical Examination
Monitor the medical exam request, panel physician appointment, and results clearance from IRCC. Expiry dates for medical results are tracked automatically.
Background Check
Track the security and criminality background check phase. While this stage is largely outside your control, Immicase logs processing updates and elapsed time.
Additional Document Request
If IRCC requests supplementary documents, log the ADR with its response deadline. Assign tasks to the team and notify the client immediately.
Decision
Record the final IRCC decision: approved, refused, or returned. For approvals, Immicase advances to the issuance stage. For refusals, it logs the reasons and flags next steps.
Issuance
Track the issuance of the visa, permit, or COPR. Record validity dates, conditions, and any landing or activation deadlines the client must meet.
Complete Status History and Timeline Entries
Every action taken on a case in Immicase is recorded as a timeline entry. When a consultant moves a case from Document Collection to Document Review, the system logs who made the change, when it happened, and any notes attached to the transition. This creates an unbroken chain of custody for every case in your firm.
Timeline entries go beyond simple status changes. They capture document uploads, client communications, internal notes, task completions, invoice events, and IRCC correspondence. When a client calls to ask about their case, any team member can open the timeline and provide an accurate, up-to-the-minute update without searching through email or asking a colleague.
Status Change Logging
Every stage transition is recorded with the user who made the change, the timestamp, and optional notes explaining the reason for advancement or rollback.
Chronological Case Timeline
View every event on a case in chronological order. Filter by event type -- status changes, documents, communications, or tasks -- to find exactly what you need.
Team Visibility
All team members with case access see the same timeline. No more asking colleagues for updates or searching through personal email folders for the latest status.
Audit-Ready Records
The immutable timeline log serves as your compliance record. Export the full history for any case as a PDF or CSV for CICC audits, client disputes, or internal reviews.
