Pricing in this category is unusually hard to compare. Many vendors publish no rate at all, so finding out what something costs means booking a demo and waiting for a quote. Those that do publish use different units — per user, per firm, per licence — which makes two numbers on two websites almost meaningless next to each other.
This guide is deliberately vendor-neutral. It does not list what any particular competitor charges, because those figures change and a stale number is worse than none. What it gives you instead is the structure: how these products are priced, what gets left off the sticker, and the arithmetic that makes two quotes genuinely comparable.
The three pricing models
1. Per user, per month
The most common model, and the convention among longer-established vendors. You pay a rate for each person with a login.
It is predictable and it scales smoothly, but it has one behavioural effect worth naming: it makes you reluctant to give people accounts. Firms on per-user pricing routinely share a login with an assistant to avoid another seat — which destroys your audit trail, breaks attribution for a compliance examination, and is becoming untenable anyway now that IRCC is moving GCKey to mandatory two-factor sign-in. If you choose per-user, budget for everyone who touches a file, not just your consultants.
2. Flat rate per firm, in tiers
One price covers a band of users — a solo tier, a small-team tier, and so on. Common among newer entrants and generally friendlier to small practices, because adding a coordinator costs nothing until you cross a band.
The thing to check is what defines the band. Users? Active cases? Storage? A tier that looks generous on seats can be tight on case volume, and you will not discover that until you are mid-year.
3. Per licence, billed annually
A yearly fee per licence, usually paid up front. The headline figure looks larger because it covers twelve months, so divide before comparing. The real consideration is commitment: an annual prepayment removes your ability to leave if the product turns out not to fit, which matters most on your first purchase.
What the pricing page leaves out
The subscription is rarely the whole number. In this category the following are common, and only some vendors mention them before you ask:
| Cost | What to ask |
|---|---|
| Implementation / setup | Is there a one-time fee, and what does it include? |
| Data migration | Who moves your existing files, and is it billed separately? |
| Training | Included, or per session? Live or recorded only? |
| Storage overage | What is the quota, and what happens past it? |
| Add-on modules | Which advertised features cost extra? |
| Payment processing | Is there a platform fee on top of the processor's? |
| Support tiers | Is a human response included, or is that an upgrade? |
| Exit | Does a full data export cost anything? |
Implementation fees deserve particular attention. In this market they range from nothing at all to five figures, and that spread is wide enough to invert a comparison: a cheaper monthly rate with a large setup fee can cost more in year one than a higher rate with none.
The arithmetic that makes quotes comparable
Normalize everything to total first-year cost at the size you actually are, then to year two. Both numbers matter, because setup fees distort the first and the subscription dominates after that.
Year one = (monthly rate × your user count × 12) + setup + migration + training + add-ons you will actually use
Then run it again at the size you expect to be in two years. A per-user model and a flat-tier model can cross over as you grow, and the cheaper option today is not always the cheaper option at five people.
Two further adjustments make the comparison honest. First, subtract the tools the platform genuinely replaces — if it includes e-signature and video consultations, those subscriptions come off your current spend. Second, do not subtract tools it merely connects to: your accounting software and cloud storage stay on the bill either way.
Eight questions before you accept a quote
- 1. What is the total first-year cost for exactly our team size, including every one-time fee?
- 2. What is the year-two cost if nothing about us changes?
- 3. Which features in the demo are not in the tier you have quoted?
- 4. Is migration of our existing files included, and who does the work?
- 5. What happens to the price when we add a sixth person, or a hundredth case?
- 6. Is there a minimum term, and what does cancellation involve?
- 7. Can we export everything if we leave, in a usable format, at no charge?
- 8. Is this price guaranteed, and for how long?
Ask these in writing. A vendor confident in their pricing answers in writing without hesitation; one that will only answer on a call is telling you something.
On demo-gated pricing
Plenty of good software is sold this way, and a quote-based model is not evidence of anything underhanded — genuinely complex enterprise deployments are hard to price on a page. But for a solo practitioner or a five-person firm, requiring a sales call before disclosing a number costs you an hour per vendor just to build a shortlist, and it makes casual comparison impossible, which is usually the point.
If a vendor will not give you a figure, ask for the range for a firm your size. If that is also refused, you have learned something useful about what working with them will be like.
Where Immicase sits
We publish our pricing because we would rather you qualify yourself out than sit through a call to find out we are too expensive. Flat tiers rather than per user: Solo is $49 CAD/month for one practitioner, Team is $99 CAD/month for up to 5 users, and larger firms get a custom quote. The AI suite is an optional $29 CAD/month add-on per firm — Immicase works fully without it. There is no setup fee, migration help is included in onboarding, and a full export of your data is always free.
Run the arithmetic above on us the same way you would on anyone else. The 14-day trial needs no credit card, so you can test the thing before the money question arises at all.
Our pricing, published
No forms, no call required, no “contact us for pricing”. See the tiers, what each includes, and what the total cost looks like for a practice your size.
