IRCC is going digital. We digitize your practice with you.
A new IRCC case management platform, a single online portal, mandatory two-factor sign-in, and a tightened CICC framework are landing on Canadian immigration practices at the same time. Immicase does not just sell you software and wish you luck — we run the transition alongside you, from readiness review to migration, training, and every regulatory change after that.
No cost, no commitment · You keep your written readiness summary either way
Six shifts hitting Canadian immigration practices at once
Any one of these would be a manageable adjustment. Arriving together, they change how a practice has to be organized — not just which buttons you click.
GCMS is being replaced
IRCC has committed a reported $827M+ to retire the decades-old Global Case Management System and stand up a new Case Management Platform (CMP). Screens, statuses, and the data practitioners see will change.
What it means for you: Your internal statuses and client-facing updates need to survive a vocabulary change at IRCC.
One portal instead of many
IRCC's single-window online account is already live for visitor visa applications, with a reported 123,000+ users, and is being extended across lines of business. The old patchwork of program-specific portals is on its way out.
What it means for you: Representatives need one reliable place to record what was filed, when, and from which account.
Mandatory GCKey two-factor
Multi-factor authentication is being made mandatory for GCKey accounts, affecting a reported 1.2M+ active files. Every sign-in becomes a second-device event.
What it means for you: Firms that share one login across a team will feel this first. Account ownership has to be deliberate.
IRCC published an AI strategy
IRCC released its first departmental AI strategy in February 2026, formalizing how automation and triage are used in processing. Analytics-assisted decision support is no longer experimental.
What it means for you: Complete, consistent, well-structured submissions matter more when the first pass may be automated.
Digital documents replacing paper
IRCC is moving toward digital visas and electronic proof of status in place of physical counterfoils and printed documents.
What it means for you: Your file is the record. Storage, retrieval, and client delivery all have to be digital-first.
CICC's 2026 regulatory overhaul
The College's updated framework raises the ceiling on penalties to a reported $50,000 and tightens client file retention to six years, with explicit expectations around the technology you use.
What it means for you: Retention, audit trails, and data location stop being nice-to-haves and become examinable.
Figures and dates above reflect publicly reported IRCC and CICC announcements at the time of writing. Timelines for government programs move — confirm current details on the IRCC and CICC websites before making decisions for your practice.
IRCC digitizing does not digitize your practice
This is the part firms underestimate. When IRCC modernizes, the department's side gets faster and more structured. Your side does not change at all — unless you change it.
What IRCC is fixing
- Their internal case system
- Their applicant-facing portal
- Their document issuance
- Their authentication
- Their processing automation
What is still entirely yours
- Where your client files live and how fast you can produce one
- Whether your retention meets a six-year expectation
- Who on your team can see and do what
- How documents get from a client to a submission
- Whether every action on a file is attributable and timestamped
A modern department talking to a practice that runs on shared drives, one inbox, and a spreadsheet is where the risk sits. That gap is the work — and it is the work we do with you.
Our digitization partnership program
Five phases, run with you rather than at you. Phases one through four typically take one to six weeks depending on firm size. Phase five has no end date — that is the point.
Digital readiness review
Week 1 — free, no commitment
We sit down with you and map what you actually have: where files live today, which IRCC accounts your firm uses and who controls them, how documents reach you, what your retention practice looks like, and where a compliance examination would find gaps. You leave with a written readiness summary whether or not you become a customer.
You get
- Written readiness summary with prioritized gaps
- Inventory of your IRCC and GCKey account structure
- Retention and audit-trail gap list mapped to CICC expectations
File and data migration
Weeks 1-3 — done with you, not handed to you
Paper files, spreadsheets, shared drives, and email folders become structured client and case records. We do the heavy lifting on import templates and field mapping; you validate. Nothing goes live until you have confirmed a sample of real files reads correctly end to end.
You get
- Client, case, and document import from spreadsheets or exports
- Historical files indexed and searchable, not just scanned
- Side-by-side validation of a sample set before cutover
Configuration for your streams
Weeks 2-4
Milestones, document checklists, retainer templates, invoice branding, user roles, and portal languages are configured around the streams you actually practise — not a generic default. If you run Express Entry and study permits, you do not get an LMIA workflow you will never use.
You get
- IRCC-aligned milestones configured per stream you practise
- Document checklists and templates matched to your intake
- Role-based access set up per team member, not one shared login
Team training and client rollout
Weeks 3-6
Live training for consultants, assistants, and coordinators in their actual day-to-day workflow. Then a staged client rollout: new intakes onto the portal first, active files second, archived files searchable from day one. Your clients get a phased, explainable change — not a surprise email.
You get
- Role-specific live training sessions with recordings
- Client portal rollout plan and multilingual invite templates
- Written internal runbook your team can onboard new staff with
Ongoing regulatory tracking
Continuous
The transition does not end at go-live. As IRCC ships CMP changes, portal updates, and authentication requirements, and as CICC guidance evolves, we track what changes, tell you what it means for your practice, and adjust the platform. You should not have to read every departmental bulletin to keep working.
You get
- Plain-language change notes when IRCC or CICC shift requirements
- Platform updates aligned to new milestones and document rules
- A named contact who knows your configuration and your streams
Who does what
Partnership only means something if the division of labour is written down. Here is ours.
| Task | Immicase | Your firm |
|---|---|---|
| Auditing where your files and data currently live | We run the review and write it up | You give us an honest picture |
| Importing historical clients, cases, and documents | We build the mapping and run the import | You approve the sample validation |
| Configuring milestones, checklists, and templates | We configure to your streams | You confirm it matches how you practise |
| Separating shared IRCC and GCKey logins per person | We advise on structure and record ownership | You hold and control the credentials — always |
| Training consultants, assistants, and coordinators | We deliver live, role-specific sessions | You pick the times and the people |
| Rolling the client portal out to active files | We provide the plan and the templates | You decide the pace and the messaging |
| Keeping up with IRCC and CICC changes | We track, summarize, and update the platform | You make the professional judgment calls |
Are you ready for a digital-first IRCC?
Ten statements. If you cannot say yes to all of them today, those are the gaps the readiness review is designed to close — and you can work through them with or without us.
- 1Every active file exists as a structured digital record, not a folder of scans
- 2You can produce a complete client file — documents, communications, and decisions — in minutes, not hours
- 3Client file retention meets the six-year expectation without depending on one person's inbox
- 4Each team member has their own login, with permissions matched to their role
- 5IRCC and GCKey account ownership is documented, and 2FA recovery does not depend on one phone
- 6Client documents arrive through a secure channel you control, not consumer email or messaging apps
- 7Every action on a file is timestamped and attributable to a person
- 8Client data is hosted in Canada and you can name where
- 9Deadlines — biometrics, medicals, ADR responses, permit expiries — are tracked by the system, not by memory
- 10You could hand your practice to a locum tomorrow and they could work it from the record alone

What does Immicase actually do during our digitization?
We run a free digital readiness review, migrate your existing clients, cases, and documents into structured records, configure milestones and checklists around the streams you practise, train your team live, help you roll the client portal out to active files, and then keep tracking IRCC and CICC changes so your setup stays current. You keep control of your credentials and every professional judgment call.
Do we have to be paperless before we start?
No. Most firms we work with start from a mix of paper files, spreadsheets, shared drives, and email folders. That mix is the normal starting point, not a disqualifier. The migration phase exists precisely to turn it into structured records.
How long does the transition take for a solo RCIC?
A solo practice with a manageable active caseload is typically working in the platform within one to two weeks, with historical file migration continuing in the background. Small and mid-size firms usually run four to six weeks end to end because training and client rollout are staged across more people.
Will you handle our GCKey or IRCC portal credentials?
No, and you should be cautious of any vendor who offers to. We advise on how to structure account ownership, document who controls which account, and plan for two-factor recovery so a single lost phone does not lock your firm out. The credentials themselves stay with you.
What happens when IRCC changes something after we go live?
That is the fifth phase of the program, and it does not have an end date. When IRCC ships a Case Management Platform change, extends the online portal to a new line of business, or adjusts authentication rules, we translate it into plain language, tell you what it changes for your files, and update the platform where the change affects milestones, forms, or checklists.
Is our client data stored in Canada?
Yes. Immicase hosts client data in Canadian regions, sensitive identifiers such as passport numbers and UCIs are encrypted in the browser before they reach the server, and every action on a file is written to an immutable audit trail. That combination is what makes a retention and examination request answerable in minutes.
